Many customers find amazing ideas in event magazines, and at other friends' events. Whether it's a ceiling draping with lights, a head table and cake table lit up with beautiful sheer fabrics and fancy clusters of bows and flowers, or a pretty backdrop behind the head table with lots of lights and greens and flowers, something wonderful happens when guests enter a reception hall, finished with glamorous detail.
Although many customers think it might be fun for them to decorate the banquet room, the reality is, it takes a lot more work than one realizes to achieve a professionally decorated atmosphere.
It isn't easy to find all the accessories at affordable prices. Most customers also underestimate the final cost that the "list of incidentals" amount to for a first time decorator. When you think about the time and effort it takes to decorate an entire hall, added to all the other stress of planning an event, it becomes obvious that hiring a professional decorator is a sensible choice.
What You Should Look For?
A good decorator will respond to your call quickly and set up a meeting, either at your home, their place of business, or at your event venue. A professional decorator will consult with you to determine your vision for a perfect day. Offer options to customize the decorating to match your style and taste--not just an "event in a box" with few or no choices. The decorator should also offer you helpful tips on how to get the most for your money.
You should expect to see a portfolio of the decorating done for other clients and a list of references that you can contact. A good decorator will do a site inspection to determine what will work, and take necessary measurements.
A great decorator will not promise anything that can't be done. A reputable decorator will send or e-mail the bride and groom a proper contract itemizing each item and price, outlining the payment schedule and cancellation policy. Remember, a contract protects you.
A responsible decorator returns phone calls promptly during the planning process answering your questions or concerns and is respectful of your time. A good decorator arrives on time prepared with all items, equipment, experience, knowledge and staff required to complete the job.
A great decorator will have the decor completed long before the guests arrive. No preparation, tear-down work should be seen by anyone at the reception.
The only thing a customer is responsible for is to walk into a beautifully decorated reception hall and gasp with delight when they see their vision become a reality.

Consultants are professionals specializing in Event planning. Your planner can be an organizer, an event planner, a vendor specialist, a shrink, or a friend. An event planner can work with you to plan your event day part-time or full-time. How much time a consultant spends on your event is only limited by your event budget. A good rule of thumb is not to spend more than 7 to 10 percent of your total event budget on an event planner. If your event budget is $20,000, you should expect to pay about $2000 on a very good event planner.
One of the most important reasons for hiring an event planner it to reduce your stress level. Even if you might be able to organize everything from the cake, your reception site, the band or DJ, and the list goes on, you might be better off with the help of seasoned event professional.
Your event consultant can handle the less glamorous aspects of organizing your event such as setting appointments with vendors. When you meet with your event planner for the first time come with a plan. The more prepared you are the more your event consultant can help. Good preparation will not only save you time, but it will save you money. The less time your event consultant needs to spend on organizing your event, the less it will cost.
Just because you are working with a consultant, it doesn't mean that all you need to do is show up on your event day. You should setup a time-line and make sure your goals are met according to schedule.

You need a caterer - but how do you go about choosing the best one for your event? Whether you are having a small dinner party or a large event, it is important to spend the time to make sure you select the right caterer to provide the food for your event.
Finding Caterers
Since there are probably a large number of caterers in your local phone book, whom should you call to interview? The best way to find a caterer is through referrals. Think about any catered events you may have attended; if you enjoyed the food, finding the name of the caterer who handled that event is a great place to start. Do you have friends who have selected caterers for their parties? Ask which firms they have used. Who at your office does event planning? They may have lists of qualified providers you can use. Many restaurants offer catering services, so if you have a favorite dining spot ask if they provide this service. Event planners, hotel concierges and other party service providers keep lists of caterers, so if you can not find a personal referral ask local professionals for recommendations.
Interviewing Caterers
Once you have selected some possible caterers, it is important to interview them. Some of the critical questions you should ask at your first meeting include:
- What are their food specialties? Are they experienced in the type of cuisine you would like to serve?
- What kind of culinary training does the caterer have?
- Who does the actual cooking? If the caterer has multiple chefs on staff, can you select one and be guaranteed he or she will prepare the food for your event?
- Are they full service caterers? In other words, can they provide servers, bartenders and drinks service as well as the food?
- Is the caterer willing to help you secure other items you need such as table and chair rentals, decorations and flowers?

- What equipment will the caterer need on-site? In other words, does the caterer count on you to provide ovens and refrigerators?
- How much of the food does the caterer prepare ahead of time and what is made on-site?
- Does the caterer provide serving dishes and utensils? What about dinnerware and glassware?
- What are the costs associated with the food, beverages and all of the services the caterer will provide?
Verifying Credentials and Checking References
Once you have had all of your questions answered satisfactorily, make sure you follow up and check the references that the caterer provided. If the caterer claims to have studied with a renowned chef, a phone call will help you verify that fact. Calls to previous clients will ensure that the caterer's service is up to par and that the food is as delicious as you have been led to believe. Be sure to ask about the caterer's reliability and timeliness and whether there were any disputes or discrepancies with the bill.
Tastings
Once you think you know which caterer you would like to book, it is time to do a tasting. It is important to taste samples of the caterer's food selections before you sign a contract to make sure you are happy. While service and cost are critical, the food is really the reason you hire a caterer. Some caterers will offer a private tasting even before you have committed to use their services; others have regular tasting times when potential clients can sample their delicacies. - In the outdoor event, cakes can melt, choose your cake carefully. Stay away from mousse and ice cream cakes.
- Remember to order your cake at least 2 months in advance, if not 4. Always check all of your details closer to your event, including the cake.
- If you are not a seasoned cake cutter, ensure you order a cake which is rectangular or oval; much easier to cut and serve.
- It may look nice, but does it taste good too? Choose your baker with a taste test.
